Description:

We are seeking an experienced Receptionist (Female) / Document Controller with a pleasing personality and customer service attitude to manage our front office

Key Responsibilities Receptionist:

  • Welcome visitors in with a positive, helpful attitude and direct them appropriately.
  • Answering phones in a professional manner and routing calls as necessary.
  • Notifies company personnel of visitor arrival.
  • Attendance tracking of all employees.
  • Operate standard office equipment on a regular basis including fax machines, printers etc.
  • Keep detailed and accurate records of visitor requests and calls received. Maintains security by following procedures, and monitoring the logbook.
  • Receive deliveries; sort and distribute incoming mail.
  • Preparing meetings and training rooms.
  • Take inventory of supplies and restock as needed.
  • Maintaining safety and hygiene standards of the reception area.
  • Assisting colleagues with administrative tasks.

Responsibilities Document Controller;

  • Copy, scan and store documents
  • Check for accuracy and edit files, like contracts
  • Review and update technical documents (e.g. manuals and workflows)
  • File documents in physical and digital records
  • Create templates for future use
  • Retrieve files as requested by employees and clients
  • Manage the flow of documentation within the organization
  • Maintain confidentiality around sensitive information and terms of the agreement
  • Prepare ad-hoc reports on projects as needed

Skills & Experience

*High school diploma is required. *Excellent communication skills. Demonstrated ability to read, write, and speak English. *Minimum 1-3 years of relevant experience in an office environment (Migration/Education Consultancy preferred). *Proficient in Microsoft Office. *We prefer a smart appearance and approachable behavior. *Strong telephone skills. *Comfortable multi-tasking and prioritizing tasks without guidance. *Excellent interpersonal skills and be able to work under pressure. *Punctual with strong attendance history.
